🚀 Getting Started

New to SMPLTSK? Start here to understand the basics.

What is SMPLTSK and how does it work?

SMPLTSK is visual task management designed specifically for construction and trades. Instead of writing long text descriptions or making phone calls to explain tasks, you simply:

  1. Take a photo of the job site or problem area
  2. Tap to place numbered markers directly on the photo where work is needed
  3. Add task descriptions to each marker (tap marker to add text)
  4. Send it to your team via SMS
  5. Track progress as markers turn from red (pending) to green (complete)
💡 Time Saver: Visual instructions eliminate confusion and costly miscommunication. Workers see exactly what needs doing and where - no need to call for clarification or make return trips because something wasn't clear.

Do I need any special skills or training to use SMPLTSK?

No. If you can take a photo on your phone, you can use SMPLTSK.

There's no training required, no complex setup process, and no learning curve. The app is designed to match how construction workers naturally think - visually and practically.

💡 Mental Load Reduction: SMPLTSK frees your mind by letting you quickly delegate or save tasks. Instead of trying to remember all the details, you capture them once and move on - the app remembers for you.

How long does it take to create and send a task?

Under 60 seconds for most tasks.

Here's the typical breakdown:

  • Take photo: 10 seconds
  • Place markers: 20 seconds (for 3-4 tasks)
  • Add descriptions: 20 seconds
  • Send via SMS: 5 seconds
  • Total: ~55 seconds

Compare this to traditional methods:

  • Writing detailed text instructions: 5-10 minutes
  • Phone call to explain each task: 10-15 minutes
  • Walking workers around site explaining in person: 15-30 minutes
💡 Time Saver: One minute to create a task vs. 10-15 minutes explaining it. If you create 10 tasks per day, that's 90-140 minutes saved daily. Over a month, that's 30-45 hours of your time back.

Does the person receiving tasks need to install the app?

No - and this is one of SMPLTSK's biggest advantages.

When you share a task, the recipient receives an SMS text message with a link. They simply tap the link and see the task immediately in their mobile browser - no app download required, no login needed, zero friction.

What recipients can do without installing the app:

  • View the photo with all markers and descriptions
  • Tap each marker to read task details
  • Mark tasks as complete (markers turn green)
  • View tasks on any device (phone, tablet, computer)
💡 Ease of Use: This means you can send tasks to subcontractors, suppliers, clients, or anyone without asking them to "download the app first." Zero friction = better adoption and faster results.

What makes SMPLTSK different from other task management apps?

SMPLTSK is built specifically for visual, hands-on work - not office desk jobs.

Key differences:

  • Visual-first: Photos with markers, not text-heavy task lists
  • No app required for recipients: SMS link opens in browser instantly
  • Folder/File organization: Find job photos instantly instead of scrolling through your gallery
  • Zero learning curve: If you can take a photo, you can use it
  • Built for trades: Designed by a builder who lives this problem daily
  • Local storage: Your data stays on your device, under your control
🎯 Bottom Line: Other apps try to force construction workflows into office-style task managers. SMPLTSK works the way builders and trades actually work - visually, practically, and fast.

⚙️ Permissions & Settings

Troubleshooting camera access and app settings.

Why isn't my camera working in SMPLTSK?

Camera permission MUST be enabled for SMPLTSK to function. Without camera access, you cannot take photos to create visual tasks.

⚠️ Common Issue: If you see an error when trying to take a photo, or the camera button doesn't work, you likely denied camera permission when you first opened the app. This is easy to fix.

Method 1 - Fix it in SMPLTSK (Recommended):

  1. Open the SMPLTSK app
  2. Tap the Gear icon ⚙️ (bottom icon of the three dashboard icons)
  3. Find the App Permissions section
  4. Make sure Camera permission is enabled/allowed
  5. Continue by tapping the Camera button ON THE DASHBOARD to take a photo

Method 2 - Fix it in iPhone Settings (iOS):

  1. Go to your phone's Settings app
  2. Scroll down and find SMPLTSK
  3. Tap SMPLTSK
  4. Tap Camera
  5. Select Allow
  6. Return to SMPLTSK and try again

Method 3 - Fix it in Android Settings:

  1. Go to your phone's Settings
  2. Tap Apps or Applications
  3. Find and tap SMPLTSK
  4. Tap Permissions
  5. Find Camera and enable it
  6. Return to SMPLTSK and try again
📌 Still Not Working? Try restarting your phone after changing permissions. If the camera still doesn't work, contact [email protected] with your device model and operating system version.

Where do I find app settings?

Tap the Gear icon ⚙️ in SMPLTSK to access Settings.

The Settings menu lets you:

  • Manage permissions (camera, notifications, contacts)
  • View subscription details and manage billing
  • Update account information (email, password)
  • Access support resources (FAQ, User Guide, Contact Support)
  • Review legal documents (Privacy Policy, Terms of Service)
  • App preferences (notifications, default settings)

What permissions does SMPLTSK need and why?

SMPLTSK requests minimal permissions to function effectively:

Required Permission:

  • Camera (REQUIRED): To take photos of job sites and create visual tasks. SMPLTSK cannot function without camera access.

Optional Permissions (enhance functionality):

  • Location: Enhances your experience by adding location data to tasks
  • Microphone: Enables Voice-to-Text for adding descriptions hands-free
  • Notifications: Alerts you when tasks are marked complete or team members add comments
  • Contacts: Makes it easy to select recipients when sharing tasks

Permissions SMPLTSK does NOT need or request:

  • Access to your files or documents (beyond photos you choose)
  • Access to other apps on your device
🔒 Privacy Note: All your photos and tasks are stored securely in Firebase cloud storage and accessed through your device. SMPLTSK staff cannot access, view, or read your content. See the Privacy section below for more details.

📁 Folders & Organization

Master SMPLTSK's folder system - your competitive advantage for staying organized.

How does the Folder/File organization system work?

SMPLTSK includes a powerful two-level organization system that transforms how you manage job photos.

The structure is simple:

  • FOLDERS (📁) = Projects, properties, or main categories
  • FILES (📄) = Specific trade, area, or task type within a project

Example structure you might create:

Real-world example:
  • 📁 Main Street Renovation (Folder)
    • 📄 Plumbing
    • 📄 Electrical
    • 📄 Defects List
  • 📁 Beach House Project (Folder)
    • 📄 Roofing
    • 📄 Plumbing
  • 📄 Smith Residence (File at root level)
  • 📄 Office Extension (File at root level)

Creating a Folder:

  1. Navigate to the Folders screen in SMPLTSK
  2. Tap the + (Plus) button or Create button
  3. Select Create Folder
  4. Name it (e.g., "Main St Renovation", "Smith House", "Unit 14")
  5. Tap Save or Done

Creating a File within a Folder:

  1. Open the Folder where you want to add a File
  2. Tap the + (Plus) button or Create button
  3. Select Create File
  4. Name it (e.g., "Electrical", "Plumbing", "Kitchen", "Defects")
  5. Tap Save or Done
💡 Pro Tip: Spend 5 minutes at the start of each project setting up your folder structure. This small investment will save you hours over the project lifecycle by making every photo instantly findable.

How do I assign photos/tasks to Folders or Files?

It's a simple 3-tap process: File icon → Select → Apply.

When viewing an image with markers:

  1. Open the image you want to organize
  2. Tap the File icon 📁 (usually near the top of the screen)
  3. You'll see the "Select Folders" screen with all your Folders and Files
  4. Option A: Tap an existing Folder or File to select it (it gets a checkmark ✓)
  5. Option B: Tap the Create button to make a new Folder/File on the spot
  6. Tap Apply at the bottom
  7. Done! Your image is now organized under that Folder/File
📌 Editing and Deleting: On the "Select Folders" screen, you'll also see Edit and Delete buttons. Use Edit to rename Folders/Files, and Delete to remove ones you no longer need.

What's the advantage of using Folders vs. my phone's photo gallery?

Speed, organization, and mental load reduction.

Scenario: You need to find "that plumbing photo from the Main Street job"

WITHOUT SMPLTSK Folders (using phone gallery):

  • Open Photos app
  • Scroll through hundreds of random photos
  • Try to remember: "Was it from last Tuesday? Or Wednesday?"
  • Keep scrolling: family photos, screenshots, other job sites...
  • Still scrolling: "Where IS that photo?"
  • Time wasted: 1-3 minutes (sometimes can't find it at all)
  • Mental frustration: High

WITH SMPLTSK Folders:

  1. Open SMPLTSK
  2. Tap Folders
  3. Tap "Main Street" Folder
  4. Tap "Plumbing" File
  5. See all plumbing photos for that job

Time taken: 5-10 seconds

Mental load: Zero. No remembering dates, no scrolling, no frustration.

💡 Time Saver: Even saving just 1-2 minutes per photo search adds up quickly. If you search for job photos 10 times per day, that's 10-20 minutes saved daily - time you can spend on actual work instead of hunting through your phone.
💡 Mental Load Reduction: Your brain doesn't have to remember WHERE and WHEN you took each photo. The folder system does the remembering for you. This is huge when you're managing multiple jobs simultaneously.

How should I organize my Folders for maximum efficiency?

The best structure depends on your workflow, but here are proven approaches:

Approach 1: Organize by Project/Property

Best for: Builders managing multiple simultaneous projects

Example:
  • 📁 Main St Renovation
    • 📄 Electrical
    • 📄 Plumbing
    • 📄 Defects List
    • 📄 Client Requests
  • 📁 Smith House Extension
    • 📄 Kitchen
    • 📄 Bathroom
    • 📄 Exterior

Approach 2: Organize by Trade

Best for: Specialists working across multiple sites

Example (Electrician):
  • 📁 Electrical Jobs - North
    • 📄 Site A - Rewire
    • 📄 Site B - New Build
    • 📄 Site C - Defects
  • 📁 Emergency Callouts
    • 📄 Dec 2024
    • 📄 Jan 2025

Approach 3: Hybrid (Project + Trade)

Best for: Complex projects with multiple trades

Example:
  • 📁 Unit 14 Apartment
    • 📄 Electrical - Living
    • 📄 Electrical - Bedrooms
    • 📄 Plumbing - Kitchen
    • 📄 Plumbing - Bathrooms
    • 📄 Defects - All
💡 Best Practice: Keep Folder names short and File names descriptive. "Main St" + "Plumbing Issues" is better than "Property at Main Street" + "All Plumbing Related Tasks and Problems." Shorter names = faster scanning.

Can I move images between Folders or change their File assignment?

Yes, easily.

To move an image to a different Folder/File:

  1. Open the image
  2. Tap the File icon 📁
  3. Select a different Folder or File
  4. Tap Apply

The image is now organized under the new location. Simple reorganization whenever your project structure changes.

Can one image belong to multiple Folders or Files?

Yes, if needed.

Some tasks span multiple categories. For example, a defect that involves both electrical and plumbing work can be assigned to both:

  • 📄 Electrical - Defects
  • 📄 Plumbing - Defects

When assigning Folders/Files, you can select multiple items before tapping Apply.

How do I filter my tasks by Folder or File category?

Use the "Filter by Files" feature on the FILES screen.

On the FILES screen, you'll see:

  • Four main categories at the top: SENT, RECEIVED, MINE, DRAFTS (with counts showing how many items in each)
  • Below that, a "Filter by Files" section
  • Tap "expand to see all categories" to view all your Folders and Files
  • Select any Folder or File to filter and see only tasks assigned to that category
💡 Quick Navigation: The Filter by Files feature makes it easy to jump straight to a specific project or trade. Instead of scrolling through all your tasks, just tap the Folder/File you want to see.

✅ Using the App

Creating tasks, placing markers, and tracking completion.

How do I create a task with SMPLTSK?

It's a simple 3-phase process that takes less than 60 seconds:

Phase 1: Take Photo & Place Markers

  1. Take a photo of the area where work is needed (or select existing photo)
  2. Tap on the photo to place your first marker - a numbered red marker (1) appears
  3. Tap additional locations to place more markers (2, 3, 4...) - just tap locations, no descriptions yet
  4. When you've placed all markers, tap the forward arrow →

Phase 2: Describe Tasks (DESCRIBE Screen)

  1. The DESCRIBE screen appears showing all your markers in a list
  2. Tap each marker row to add a description (e.g., "Fix crack in drywall", "Replace outlet")
  3. Optional features on DESCRIBE screen:
    • Folder icon 📁 (top right) - assign to folders/files for organization
    • HIDE LIST button - shows just the image with markers to refresh your memory of placement
    • Back arrow ← - returns to image if you need to add more markers
    • ADD IMAGE button - adds another image to this task batch

Phase 3: Send or Keep

  1. When descriptions are complete, choose:
    • ME button - keep this task for yourself (saved to MINE category)
    • Forward arrow → button - share with others (opens phone's share menu)
  2. If sharing: select SMS, WhatsApp, email, or other messaging app
  3. Choose recipients and send!
💡 Flexible Workflow: Place all your markers first (quick taps while walking the site), then sit down later to add detailed descriptions. Or hide the list to see the image and remember what each marker was for. The workflow adapts to how you work.

How many markers can I add to one photo?

Unlimited. Add as many markers as you need to fully communicate the work required.

Common scenarios:

  • Simple repair: 1-2 markers
  • Defects list inspection: 5-10 markers on one photo showing multiple issues
  • Complete room renovation: 15+ markers covering walls, ceiling, floors, fixtures
  • Complex equipment: 20+ markers labeling parts, repairs, maintenance points
💡 Mental Load Reduction: Instead of trying to remember or write down "all the things wrong with this room," just tap each problem location once as you spot it. SMPLTSK remembers everything for you - you can focus on the work, not the documentation.

How do I (or my team) mark a task as complete?

One tap marks it complete - plus team members can add comments.

When a task is finished:

  1. Open the image with markers (either in SMPLTSK app or via the SMS/WhatsApp/email link)
  2. Tap the red marker for the completed task
  3. The marker instantly turns green
  4. Optional: Add a comment or note about the task (e.g., "Used copper instead of PVC as discussed")
  5. The status and any comments automatically update on the sender's phone

For the person who sent the task:

  • You get a notification when a task is marked complete (if you've enabled Notification permission)
  • Open SMPLTSK to see the green marker and read any comments
  • No need to call or text to check progress - it updates automatically
💡 Communication & Progress Tracking: Team members can add notes like "needs more materials" or "finished ahead of schedule." You see status updates and comments in real-time without interrupting your workflow or theirs.

Can I edit or delete markers after creating them?

Yes - before sending the task batch.

  • Edit description: Tap the marker → Select "Edit" → Change the text → Save
  • Delete marker: Tap marker → Select "Delete" → Confirm
  • Move marker: Tap and hold the marker → Drag to new position → Release
  • Change marker number: Markers are numbered automatically; delete and recreate in desired order if needed

Important: Make all corrections before sending the task batch. Once sent, the batch cannot be edited (for security reasons - prevents accidental or intentional deletion of tasks by team members).

What if I spot more tasks after I've already sent the photo?

Create a new task batch with the additional markers.

Once a batch is sent, it cannot be edited for security reasons. However, you can:

  • Open the same photo and add new markers
  • Send the new batch to your team
  • Both the original batch and the new batch remain accessible

This keeps a complete record of all tasks and prevents accidental changes to sent batches.

Can I add notes or comments beyond the marker descriptions?

Each marker has its own description field where you can add detailed notes.

Best practices for marker descriptions:

  • Be specific: "Replace 3-gang power outlet - current one is loose" instead of just "Fix outlet"
  • Include materials: "Paint this wall - use Dulux Antique White USA" instead of just "Paint wall"
  • Add deadlines if needed: "Fix by Friday COB - client visiting Saturday"
  • Note safety concerns: "Asbestos present - call licensed removalist before touching"

There's no character limit - write as much detail as needed for each marker.

📤 Sharing Tasks

How to send tasks to your team and collaborate effectively.

How do I share tasks with my team?

SMPLTSK uses your phone's native sharing options - SMS, WhatsApp, email, and more.

  1. Create your task (photo + markers + descriptions)
  2. Tap the Share or Send button
  3. Your phone's share menu appears with options like:
    • SMS/Messages
    • WhatsApp
    • Email
    • Other messaging apps you have installed
  4. Choose your preferred method and select recipients
  5. Send - recipients receive a link
  6. They tap the link to see the task in their mobile browser
💡 Flexibility: Use whatever communication method works best for each recipient. Some prefer SMS, others use WhatsApp, and clients might prefer email. SMPLTSK works with all of them.

Can I send one task to multiple people?

Yes, absolutely.

When sharing, you can select multiple recipients. Everyone receives the same SMS link and can view the task. This is useful for:

  • Team coordination: Send to supervisor, lead hand, and trades working together
  • Multi-trade tasks: Send to electrician, plumber, and carpenter for coordinated work
  • Client updates: Include the client so they can see progress
  • Documentation: All sent tasks are automatically saved in your SENT folder for record-keeping
📁 Automatic Organization: SMPLTSK automatically organizes your tasks into categories:
  • SENT: Tasks you've sent to others
  • RECEIVED: Tasks others have sent to you
  • MINE: Tasks you've created for yourself
  • DRAFTS: Unfinished tasks not yet sent
No need to manually organize or "CC yourself" - it's all tracked automatically.

Can people who receive tasks mark them as complete?

Yes - that's a key feature of SMPLTSK.

Anyone who receives the SMS link can:

  • View all markers and descriptions
  • Tap markers to mark them complete (red → green)
  • See real-time progress as others complete tasks

This allows workers in the field to update task status without needing to call or text you - they just tap the marker green when done.

💡 Time Saver: No more "checking in" phone calls. Workers mark tasks complete, you see the green markers, everyone stays in sync without interrupting each other's workflow.

Do recipients need to have SMPLTSK installed to view tasks?

No - this is one of SMPLTSK's biggest advantages.

Recipients can view and interact with tasks directly in their mobile browser. No app download, no account creation, no barriers.

This means you can send tasks to:

  • Subcontractors who work for multiple builders
  • Suppliers and vendors
  • Clients who want to see progress
  • Building inspectors or certifiers
  • Anyone with a phone - regardless of technical skill

How long do the SMS links stay active?

Links remain active as long as you keep the task in SMPLTSK.

If you delete a task from your app, the link will no longer work. Otherwise, recipients can access the link days, weeks, or months later to check task status or review what was done.

This makes SMPLTSK useful for:

  • Long-term project documentation
  • Before/after comparisons
  • Warranty or defects periods
  • Future reference on similar jobs

Can I share tasks via email?

Yes! Email is one of the sharing options available.

When you tap the Share button in SMPLTSK, your phone's native share menu appears with all your installed communication apps, including:

  • Email (Mail app)
  • SMS/Messages
  • WhatsApp
  • Any other messaging apps

Simply select Email from the share options, choose recipients, and send. The task link works the same way regardless of how it's delivered - recipients tap the link to view and interact with the task in their browser.

🔧 Troubleshooting

Common issues and how to fix them.

The app keeps crashing or freezing. What should I do?

Try these steps in order:

  1. Close and reopen the app: Swipe up (iPhone) or tap Recent Apps button (Android) and close SMPLTSK, then reopen it
  2. Restart your phone: Power off completely, wait 10 seconds, power back on
  3. Check for app updates: Go to App Store or Google Play, search SMPLTSK, install any available updates
  4. Check phone storage: If your phone storage is full, the app may struggle. Free up space by deleting old photos/videos
  5. Reinstall the app: Delete SMPLTSK, restart phone, reinstall from App/Play Store. Log back in and your data will be restored from Firebase
📌 Still Having Issues? Contact [email protected] with:
  • Your phone model and operating system version
  • When the crash occurs (specific action that triggers it)
  • Screenshots if possible

My photos aren't saving or disappearing after I take them. Why?

This is usually a storage or permission issue.

Check phone storage:

  • Go to Settings → Storage
  • If you have less than 1GB free, delete old photos, videos, or apps
  • SMPLTSK needs space to store your task photos locally

Check photo permissions:

  • Settings → SMPLTSK → Photos/Photo Library → Ensure it's enabled

Try taking a test photo:

  • Take a simple photo in SMPLTSK
  • Add one marker
  • Exit the app completely
  • Reopen SMPLTSK - is the photo still there?
  • If yes, the issue is resolved. If no, contact support.

I can't send SMS messages from the app. What's wrong?

Check these potential issues:

1. SMS/Messaging permission:

  • Tap Gear icon ⚙️ → App Permissions
  • Enable SMS or Messaging permission

2. Cellular service:

  • Ensure you have cellular signal (Wi-Fi alone isn't enough for SMS)
  • Try sending a regular text message from your phone's Messages app - if that fails, it's a carrier/signal issue, not SMPLTSK

3. SMS plan:

  • Some phone plans don't include SMS or have run out of messages
  • Contact your carrier if you suspect this is the issue

Workaround:

  • If SMS isn't working, you can copy the task link and share it via WhatsApp, email, or other messaging apps

The markers aren't appearing where I tap them. Why?

This could be a calibration or zoom issue.

Try these solutions:

  • Zoom level: If the photo is zoomed in/out, markers might not place accurately. Reset zoom to default view
  • Screen calibration: Restart the app and try again
  • Phone screen protector: Some thick or poor-quality screen protectors can affect touch accuracy
  • Tap deliberately: Single firm tap rather than light touch

If markers consistently appear offset from your tap location, please contact support with your phone model.

I'm not receiving notifications when tasks are marked complete. How do I fix this?

Enable notifications in two places:

1. In SMPLTSK:

  • Tap Gear icon ⚙️ → Notifications → Enable

2. In phone settings:

iOS:

  • Settings → SMPLTSK → Notifications → Allow Notifications (toggle ON)
  • Choose alert style (Banners recommended)

Android:

  • Settings → Apps → SMPLTSK → Notifications → Enable all
