Your First 5 Minutes

Step 1: Open SMPLTSK (30 seconds)

  1. Launch the SMPLTSK app on your phone
  2. If this is your first time, you may need to allow camera permission
  3. Tap the Camera button ON THE DASHBOARD

Step 2: Take a Photo (10 seconds)

  1. Point your camera at the work area
  2. Tap the shutter button
  3. The photo appears on screen, ready for marking

Step 3: Place All Markers (1 minute)

  1. Tap once on the photo where the first task is located
  2. A red marker with number "1" appears
  3. Keep tapping on other task locations - markers 2, 3, 4, etc. appear
  4. Place ALL markers first - no descriptions yet
  5. When all markers are placed, tap the forward arrow →

Step 4: Describe Tasks (1-2 minutes)

  1. The DESCRIBE screen appears with a list of all your markers
  2. Tap each marker row to add a description
  3. Type descriptions like "Fix crack in drywall" or "Replace outlet"
  4. Optional DESCRIBE screen features:
    • Folder icon 📁 (top right) - organize into folders/files
    • HIDE LIST button - shows image with markers (refresh your memory)
    • Back arrow ← - return to image to add more markers
    • ADD IMAGE button - add another image to this batch

Step 5: Send or Keep (30 seconds)

  1. When descriptions are complete, choose:
    • ME button - keep for yourself (saved to MINE category)
    • Forward arrow → button - share with team
  2. If sharing: choose SMS, WhatsApp, email, or other app
  3. Select recipient(s) and send!

Step 6: Track Progress (Ongoing)

  1. Recipients tap the link you sent
  2. They see the photo with all markers
  3. As they complete each task, they tap the marker
  4. Marker turns from red → green
  5. You get a notification (if enabled)
  6. Open SMPLTSK to see green markers = done!

Before You Start

Make sure you have camera permission enabled:

  • Tap the Gear icon ⚙️ (bottom icon of the three dashboard icons)
  • Find App Permissions

Photo Tips for Clear Communication

  • Get close enough: Workers should be able to see details when zooming
  • Good lighting: Take photos in daylight or with adequate site lighting
  • Stable shot: Hold phone steady for sharp, clear images
  • Show context: Include enough surrounding area so workers know where to find the task
  • Multiple angles: For complex areas, take several photos from different angles

Placing Markers & Adding Descriptions

SMPLTSK uses a two-phase workflow that keeps you focused:

Phase 1: Place All Markers First

Walk the site and quickly tap locations where work is needed. Don't stop to write descriptions - just tap, tap, tap to mark everything.

  • Tap exactly on the problem: Place marker directly on the crack, outlet, wall, or area that needs work
  • One marker per task: "Fix crack" = 1 marker. Don't use multiple markers for the same task
  • Spread them out: If markers overlap, workers can't tap them - space them apart
  • Number order matters: Markers are numbered in the order you place them (1, 2, 3...)
  • Place them all: Mark every task before moving to descriptions

When you've placed all markers, tap the forward arrow → to go to the DESCRIBE screen.

Phase 2: Describe on the DESCRIBE Screen

Now you'll see all your markers in a list. Tap each one to add descriptions.

  • Be specific: "Replace 3-gang power outlet - current one is loose" not just "Fix outlet"
  • Include materials: "Paint this wall - use Dulux Antique White USA"
  • Add deadlines if needed: "Fix by Friday COB - client visiting Saturday"
  • Note safety concerns: "Asbestos present - call licensed removalist before touching"
  • Use voice-to-text: If Microphone permission is enabled, tap the mic icon and speak your description

DESCRIBE Screen Features

  • Folder icon 📁 (top right) - Organize this image into folders/files
  • HIDE LIST button - Shows just the image with markers so you can see where they are
  • Back arrow ← - Return to the image to add more markers if needed
  • ADD IMAGE button - Add another image to this task batch

Organizing Your Task

On the DESCRIBE screen, tap the folder icon 📁 (top right) to organize this image:

  1. Tap the folder icon 📁
  2. The "Select Folders" screen appears
  3. Tap an existing Folder/File OR tap Create to make a new one
  4. Selected item gets a checkmark ✓
  5. Tap Apply
  6. You're back on the DESCRIBE screen

Example: Assign to Folder "Main Street Renovation" → File "Electrical" so you can find all electrical tasks for that job instantly.

Finishing Up: Send or Keep

Once you've added descriptions to all markers, choose what to do with this task batch:

Option 1: Keep for Yourself (ME Button)

  1. Tap the green ME button at the bottom of the DESCRIBE screen
  2. Task is saved to your MINE category
  3. Use for personal checklists, reminders, or tasks you'll complete yourself

Option 2: Share with Team (Forward Arrow Button)

  1. Tap the green forward arrow → button at the bottom
  2. Your phone's native share menu appears with options:
    • Messages (SMS)
    • WhatsApp
    • Email
    • Other installed messaging apps
  3. Choose your preferred method
  4. Select one or multiple recipients
  5. Add a personal message if you want (optional)
  6. Send!
  7. Task is automatically saved to your SENT category
💡 Multiple Recipients: Sending to electrician, plumber, and site supervisor? Select all three. Everyone gets the same link and can see real-time progress as tasks are completed.

What Recipients See

  • They receive a message with a link
  • Tap the link → opens in their mobile browser (no app needed)
  • They see the photo with all numbered markers
  • Tap any marker to read the task description
  • Tap marker again to mark it complete (turns green)
  • Optionally add a comment: "Used copper instead of PVC" or "Need more materials"

Tracking Completion

Automatic Updates:

  • When a worker marks a task complete, you get a notification (if enabled)
  • Open SMPLTSK and navigate to the task
  • Green markers = completed tasks
  • Read any comments workers added
  • No need to call or text for status updates - it's all visual

Where to Find Sent Tasks:

Why Folders Matter

The Problem: You've taken 500+ photos on your phone. Now you need "that plumbing photo from the Main Street job." You scroll... and scroll... and scroll. Family photos, screenshots, other jobs... where IS that photo?

Two-Level Hierarchy:

  • FOLDERS (📁) = Projects, properties, or main categories
  • FILES (📄) = Specific trades, areas, or task types within a project

⚠️ Keep It Simple: SMPLTSK uses a two-level system (Folders → Files). Don't overthink it. Most jobs need 1 folder with 3-8 files under it.

Creating Your Folder Structure

Method 1: By Project/Property (Most Common)

Best for builders managing multiple jobs simultaneously.

Example:
  • 📁 Unit 14 Apartment → Files: Kitchen, Bathrooms, Living Area, Defects
  • 📁 Office Extension → Files: Electrical, Plumbing, HVAC, Finishes
  • 📁 Warehouse Fit-out → Files: By Zone (Zone A, Zone B, Zone C)

Method 2: By Trade (For Specialists)

Best for electricians, plumbers, or other trades working across multiple sites.

Example (Electrician):
  • 📁 Active Electrical Jobs → Files: Site A, Site B, Site C
  • 📁 Emergency Callouts → Files: December, January, February
  • 📁 Maintenance Contracts → Files: Client X, Client Y, Client Z

Method 3: Hybrid Approach

Combine project and trade for complex jobs.

Example:
  • 📁 Hospital Expansion → Files: Electrical - East Wing, Electrical - West Wing, Plumbing - All, HVAC - All

Creating a New Folder

  1. Navigate to the Folders screen in SMPLTSK
  2. Tap the + (Plus) button or Create button
  3. Select Create Folder
  4. Name it (keep it short: "Main St" not "Property at Main Street Renovation Project")
  5. Tap Save

Creating Files Within a Folder

  1. Open the Folder you just created
  2. Tap the + (Plus) button or Create button
  3. Select Create File
  4. Name it descriptively: "Electrical", "Kitchen", "Defects"
  5. Tap Save

Assigning Images to Folders/Files

The 3-Tap Process

  1. Open the image you want to organize
  2. Tap the File icon 📁
  3. The "Select Folders" screen appears
  4. Tap the Folder or File you want (gets a checkmark ✓)
  5. Tap Apply
  6. Done! Image is now filed under that category

Multiple Categories: Need to assign one image to both "Electrical" and "Defects"? Select both before tapping Apply.

Create On-The-Fly: If the right Folder/File doesn't exist yet, tap Create button right from the "Select Folders" screen.

Edit/Delete: Use the Edit button to rename Folders/Files, or Delete button to remove ones you no longer need.

Using the Filter Feature

Once you've organized your images, finding them is instant.

Finding Organized Tasks

  1. Tap FILES on the dashboard
  2. You see four main categories: SENT, RECEIVED, MINE, DRAFTS (with counts)
  3. Below that, find "Filter by Files"
  4. Tap "expand to see all categories"
  5. All your Folders and Files appear
  6. Tap any Folder/File to filter - only those tasks show

  • Start organized, stay organized: File images as you create them, not later when you have 50 unfiled photos
  • Short names: "Main St" is faster to scan than "Property at 123 Main Street"
  • Consistent naming: Pick a convention and stick to it: "Electrical", "Plumbing" (not "Electric", "Plumb")
  • Archive completed jobs: Delete folders for finished projects to keep your list clean
  • Use DRAFTS: Started a task but not ready to send? It auto-saves to DRAFTS

How to work effectively with your team using SMPLTSK

Choosing the Right Sharing Method

SMPLTSK works with your phone's native sharing options. Choose based on your recipient's preferences:

  • SMS/Messages: Most universal - works for everyone with a phone number
  • WhatsApp: Popular with trades, instant delivery, shows read receipts
  • Email: Better for clients, architects, or formal documentation
  • Other apps: Telegram, Slack, Teams - whatever your team uses

  1. Create task with markers and descriptions

  • Comments automatically sync to sender's SMPLTSK
  • Sender gets notification (if enabled)

Best Practices for Comments:

  • Keep them brief and factual
  • Note any variations from the original task
  • Flag issues that need attention: "Problem found - call me"
  • Document materials used if different from spec
  • Add time estimates if task takes longer than expected

Managing Sent Tasks

Important Security Feature: Once a task batch is sent, it cannot be edited. This prevents accidental or intentional deletion of tasks by team members.

If you need to add more tasks after sending:

  1. Open the same photo in SMPLTSK
  2. Add new markers with new task numbers
  3. Send as a new batch
  4. Both the original batch and new batch remain accessible
  5. Workers see both sets of tasks on the same photo
⚠️ Double-Check Before Sending: Since you can't edit after sending, review all marker positions and descriptions before tapping Send. Better to spend 30 seconds reviewing than to send a correction batch.

⚙️ Advanced Features

Power user features to maximize efficiency

Voice-to-Text Descriptions

If you've enabled Microphone permission, you can dictate task descriptions instead of typing.

Using Voice-to-Text

  1. Place a marker on your photo
  2. When the description field appears, tap the microphone icon
  3. Speak clearly: "Fix crack in drywall along west wall"
  4. Tap Done when finished

Location Tagging (Optional)

If you've enabled Location permission, SMPLTSK can add GPS coordinates to your tasks.

  • Useful for projects with multiple locations

  • Can prove you were on-site at specific times (if needed for disputes)

Privacy Note: Location data is stored in your Firebase account and accessed only through your device. SMPLTSK staff cannot see your location data.

Batch Management

Understanding Batches: Each time you send a task (or group of tasks on one photo), it becomes a "batch." You can have multiple batches for the same photo.

Why Multiple Batches Are Useful:

  • Phased work: Batch 1 = rough-in tasks, Batch 2 = finish tasks
  • Different recipients: Batch 1 to electrician, Batch 2 to plumber (same photo, different tasks)
  • Additions: Batch 1 sent Monday, Batch 2 with extra tasks sent Tuesday
